AUTOMATED CALL REMINDER AND ANNOUNCEMENT SYSTEM
What is SARS-CALL?
SARS-CALL is an automated telephone confirmation and notification system. SARS-CALL can be set up to either interface with the SARS-GRID appointment scheduling system to automatically remind students of upcoming appointments, or it can be programmed to call a supplied list of students to notify them of upcoming events and important deadlines.
When working with SARS-GRID, SARS-CALL can give students the option of cancelling their appointments by pressing a button on the telephone at the end of the message. Counselors benefit by receiving advance notice of a cancellation. Students benefit because cancelled appointment slots can be automatically made available for other appointments. The automatic reminders also can significantly reduce a department’s no-show ratio.
SARS-CALL can also be used as a stand-alone application to broadcast special messages. For example, prior to a deadline for fee payment, SARS-CALL can be configured to send a reminder message to all students who have not yet paid their fees. Another type of broadcast message that may be used is an “early alert system”. Students who are at risk academically can be called and notified of services available to them to improve their academic performance.
SARS-CALL is entirely flexible. Each call group can be configured to go out during specific time periods on specific dates, and other call features such as the number of times to re-try an unanswered call can also be designated. The system can generate reports that itemize the calls that were completed, calls that were not completed, and show incorrect numbers. This enables staff to focus follow up efforts only on those students who were not reached. It also provides a vehicle for identifying incorrect information that should be changed in the student database.
INSTRUCTIONS TO REQUEST SARS-CALL SERVICES:
1. Obtain the Student Services SARS-CALL Request form at www.lahc.edu/sarscall/rform.pdf
2. Submit the form at least 2 weeks before the date you wish the call to begin to Elizabeth Colocho, Matriculation Coordinator
3.
Provide
a computer text file that contains the phone numbers of the students you wish to
call (Please call Jose Luna at X 4078
for specifications)
4. Provide a typed script of your message
5. Prepare someone to record the message that will be played to students
Please be aware that some
calls will take a few days to be completed due to the system’s settings
