MANAGER’S MEETING
MINUTES
October 3, 2007

The meeting began at 2:10 p.m. in the Facilities Conference Room.
Dr. Tomlinson began the meeting with discussing program review for Administrative Services. For accreditation, each cluster is required to submit their strategic plan, strategic mission, student learning outcomes, goals and unit plans for their areas. Dr. Tomlinson went over each areas mission statement and unit plan and asked the managers to submit changes and/or additions. She also reviewed the Spring 2007 LACCD Student Survey Measures of the Administrative Services Unit.
The Board of Trustees wants a master plan which shows the future direction of the college, especially in terms of technology. Areas discussed were virtual learning, wireless technology, the District’s ability to do conferences online, and A & R and the Business Office moving toward a more comprehensive online system, similar to online banking.
Our budget is the same as last year, less our $1 million payback. Nestor’s first projection shows a $4 million deficit.
Dr. Tomlinson reminded everyone about renewing their benefits online through portal whether or not there are changes. An area on campus will be set up with computers so everyone will have the opportunity to sign up. Debbie and Claudette will be on hand to answer questions.
Only 48% of the faculty, staff, and student workers have completed the AQMD Survey. The campus will be fined if there is not at least 90% participation. Remind everyone in your area to complete the survey.
Tatyana reported that the new Sr. Accountant Technician is working out well. Tatyana is concerned that the LAHC website lacks information about the services of the Business office and that it is difficult to find information regarding fees, the refund policy and deadlines. This information is located under A & R rather than the Business Office. Tatyana will work with Ray Van Dinther to get the information on the website in the proper place.
Nestor reported for Claudette who was not present.

Claudette requests that anyone who has a 9/80 or 4/10 work schedule report their hours correctly on their timesheets so the hours worked will reflect accurately in SAP.

Classified employees with teaching assignments must request release time from their managers in writing prior to accepting the assignment. IT techs are exempt.

Positions in SAP that are not being used should be deleted.
Kenny announced that clerical services has a new copy machine. He reported that refunds for the vending machines and people not picking up their mail has become a major problem.
Bill reported that the new facilities building should be complete this month. In order to work on the switching feeders that will provide power to the new building, the DWP will turn off the power early Friday morning. Power is expected to be back on before 7:00 Friday morning.
Facilities is streamlining work orders. They are reviewing the status of work orders and appear to be catching up. The culinary lab is almost complete.
As part of work environment, Bill has purchased vests for plant facility employees to wear during an emergency to identify themselves. The vests are blue in color with tags labeled Emergency Management. Senior staff will have yellow vests.
Due to a joint effort with IT, Bill reported that progress is being made on the phone system without having to spend $66,000 to upgrade the system. Full voice mailboxes continue to be an issue.
Mark reported that renovation of the bookstore will began with electrical work than continue with cabinets, flooring and painting.
Ivan reported that a donation of 25 laptops came through the Foundation Office. The laptops need wireless cards. IT will be short handed when Mike Nguyen takes a week off for family leave.
Suggestions were made for locations for a manager’s retreat. A date has not been set. A group retreat will be planned when the new plant facilities building is complete.
A campus-wide shredding day was discussed and will take place in the near future.
