MANAGER’S MEETING
MINUTES
March 13, 2008
Present: Dr. A. Tomlinson, N. Tan, B. Englert, I. Clarke, M. Zankich, C. Mussa-Muldoon, T. Grinberg, C. Youins
The meeting began at 2:00pm in the Facilities Conference Room.
Dr. Tomlinson announced that the District has placed a hiring freeze on classified staff. Kyomi Burrow has resigned from her position as office assistant in the mailroom. Due to the freeze, we are unable to fill the position. Dr. Tomlinson plans to ask Rhonda to fill in for Kenny while he is on vacation at the end of the month.
The biggest concern is the budget and the college’s $2.5M deficit. Some accounts in program 100 have been swept. All purchase orders need a written justification and signature from the President before they will be released.
Tatyana expressed concern about not being able to hire extra staff due to the freeze. Since it is no longer rush, the temporary cashier will have to be let go. They may be able to find her a student worker position. Tatyana is anxious to receive used computers in good condition, when we move into the new building.
Mark and other bookstore managers will meet tomorrow on campus with Dr. Tomlinson. They will address several issues concerning the bookstores including competing in the current market, changing the refund policy, and changing the debit card no limit policy. The VP’s of Administrative Services will then meet next Friday to draw up proposals that will be given to the Chancellor to bring to the Board. Mark is working on setting up tables, chairs, and computer stations outside the bookstore. Mark asked when he will have access to the north end of the old receiving building to use for storage. Concerns about other areas using the building were discussed. After shelving is removed by plant facilities, Mark can move in.
Carla reported that enrollment is down for the extension program’s winter classes. Some classes had to be cancelled. She believes it is due to our poor economy. Because they lost money on the winter schedule, the current schedule has spring and summer combined. She reported that the swap meet is down $40,000.00 due to rain. Carla informed everyone that moving leased equipment, such as copier machines, has to be moved by the company or the lease becomes invalid. She also expressed concern about calls going unanswered in the departments and calls going to voicemail.
Ivan reported on several topics:

Upgrading of our computer system.

Consultants were on campus to work on streamers; live streaming will be ready for graduation.

His meeting with the consulting group regarding the new library.

No space for IT in the new construction. Dr. Tomlinson and Ivan will bring a plan for IT to the building usage meeting on Monday, March 17.

The new Tech building is requesting more computers and/or laptops than originally planned.

Mike and Terrance will be at a conference the week of March 24.
Bill discussed the state guidelines for the amount of space IT should have. He noted that IT requires a high security area with a large amount of storage. Code states mechanical rooms can not be used for storage. Bill also reported on a structural problem with the window wall in the facilities conference room.
Claudette reported that step increases due in March will be delayed until someone is trained to enter the information. Claudette clarified that all positions are frozen, not just classified. Live scan will be on campus March 20 to fingerprint new employees. The CAHSEE grant director is looking for a provisional office tech. Our spring break holiday is a half day on March 28.
The Administrative Services cluster meeting is scheduled for April 10 at 2:00pm in the Facilities Conference Room.
