MANAGER’S MEETING
MINUTES
January 14, 2009
Present: Dr. Ann Tomlinson, Nestor Tan, Bill Englert, Mark Zankich, Ivan Clarke, Sergeant Harry Van, Al Askew
The meeting began at 10:00 a.m. in the President’s Conference Room.
Dr. Tomlinson began the meeting by explaining the plans for the Open House on January 21.12
The open house will consist of a ribbon cutting ceremony to dedicate the new Student Services/Administrative Building and the Northeast Academic Hall. The Tech building is not involved. An outside party rental company will provide tents, stage, tables and chairs. Food will be provided by Chef Joe and his culinary arts students from Trade Tech. The event will take place from 10:30 to 2:00, with lunch starting at 11:30. Ten parking spaces will be reserved in Lot 10 for the Chancellor and Board of Trustees. Free parking will be available in the Rec and Parks lot.
Mark is getting a new quote from Nebraska Book Company for online book ordering. The previous quote was $16,000.00. Three quotes are necessary. The system will be paid out of the bookstore reserve account. Mark will also get quotes to have books delivered directly to the students with the bookstore getting a commission. Mark has moved books into the old receiving building for storage.
Ivan continues to work on the IT Master Plan. He is the chair of the District IT committee. The committee has $9.5M for IT purchases that will be distributed between the campuses.
The President wants the inauguration televised on January 20. Ivan will make it available in one of the large classrooms in Northeast Academics.
Information for the Summer/Fall 2009 schedule needs to be updated. Each manager should review their area in the schedule and submit revisions.
Parking will no longer be free for Summer and Winter session. Starting this Spring parking will be $20.00 per semester—Spring, Summer, Fall and Winter. Parking decals will be purchased by the District for all nine campuses at a bulk rate.
Mark reported that Chef Joe purchased tablecloths for the college with his own money so a tablecloth contract is not needed. Washing and drying of the tablecloths will be done in the CDC area.
The area across from the mailroom/reprographics may be set up as an additional location for the sheriff’s with a desk and phone. An office may be set up within reprographics for a sheriff’s substation. Dr. Tomlinson expressed the concern of some staff that the sheriff’s are not always reachable at extension 4600. Sergeant Van and Ivan will work together to make sure ext. 4600 rolls over to the sheriff’s cell phone number. Sergeant Van reported that someone is leaving the door propped open in A & R that leads to “L” Street creating a security problem. Dr. Tomlinson will speak to A & R. Dr. Tomlinson reported that the men’s public restroom in the SS & A building was vandalized last week.
Administrative Services is working on the OP Plan for 2010. As for the budget, it looks like we will make it through this year. The hiring freeze is still in place. Any hiring is subject to the Chancellor’s approval.
Bill reported on the solar parking lot project that will begin this week. In phase one, work will be done in lots 6 and 8. Temporary parking will be available in various areas around campus. In phase two, a two-story parking structure will be built in Lot 8. The completed project will yield four megawatts of electrical generation, greatly reducing our demand for electricity.

A room in reprographics is being used as secure storage. Boxes that Payroll/Personnel have in one of the containers should be moved to this room.

Sergeant Van reported on the sheriff’s training exercise called “Active Shooter Training” which will take place on campus the weekend of February 14. The campus will be closed for a four day weekend. Dr. Tomlinson will be on campus during this exercise.

Dr. Tomlinson asked Sergeant Van to check with the Red Cross to see if Harbor is a disaster staging area.

Captains for the disaster plan need to be reviewed and trained.
