Student Registration Procedures for Faculty
Welcome to Fall 2010. Here are calendars and information for proper attendance, roster, and registration submission. Please review this information and attached documents.
ROSTERS
Rosters were placed into instructor campus mailboxes. If you do not have a mailbox, the roster was forwarded to your division chair. If you did not get an attendance roster, please notify Admissions & Records as soon as possible so we can order one for you. You are required to keep attendance through census week, then return your census roster to Admissions & Records. For this semester, we will still do Census & Positive Attendance Rosters on paper. But, you can view and print and up-to-the-minute roster from the online faculty roster system.
Please review the top portion of the roster to insure that all information is correct. Report any discrepancies to the Office of Academic Affairs. The purpose of the Census Roster is to record class attendance up to Census day for your class. Please write in the names and ID #s of students you have added. The back of the form can also be used for this. Your Census Day is printed at the top of the form. Your census date is also on your online roster.
The Last Day to Drop with a Refund, the No Penalty Drop Date (the last day to drop without a “W”), as well as the last Day to Drop are unique for your class and are printed at the top of the Census Roster. Please inform your students of these important dates.
STUDENTS WHO ARE NOT ON YOUR ROSTER
Any student that is not on your roster is not officially enrolled. Your online class roster is the most up to date roster with live information on active and dropped students. Please issue an add permit to any student who is active in the course but does not appear on your roster. All adds must be processed by the Last Day To Drop your class in order for the student to be included on the final grade roster. This date is printed on the top of your roster.
You can obtain additional Add Permits from your department office.
If you are an instructor of an online course, you must follow the add procedure that has already been emailed to you.
EXCLUSIONS
You can exclude students online. You can view, print, and process from an up-to-the-minute roster in the Faculty Online Roster System. Effective Summer 2010, if you process exclusions online, you do not need to submit paper rosters or signature pages.
“No Shows” are students who registered for your class and do not attend. You have a legal obligation to exclude all “No Shows”. If you do not have students to exclude, log on and choose the “No Students to exclude” function I order to make sure the system records you have reviewed your course for exclusions.
You are responsible for excluding non-participating students through Census Day for your class as “No Shows”. Please be sure you inform your students that it is their responsibility to drop themselves if they continue attending after Census Date. (If for safety or other reasons you wish to exclude all through the class, you may do so until the last day to drop for this class.) No exclusions will be accepted after the last day to drop your class. No exclusions will be accepted after the last day to drop for the class (no adds either).
DISTRIBUTION OF FORMS
Additional Add Permits, Audit Cards, and Section Transfer Cards are available to instructors at your department office or the Admissions & Records Office. For security reasons, these blank forms are never given to students. Please be sure to have the forms you need before you meet with your class. We will not honor written requests for blank forms that are brought in by students.
ONLINE FACULTY ROSTER SYSTEM
Effective Summer 2010, the online roster system has had many long awaited improvements. Make sure to use the attached LACCD Instructor System PowerPoint Presentation to familiarize yourself with all updates including e-signature, pin numbers, session expiration, mass email, and early alerts for students. This is the same ppt presentation used during Faculty training last week.
